How does SysCloud's pooled storage model work?
During your initial subscription term, your storage is uncapped, subject to our fair use policy. There is no fixed storage limit while your subscription is active, provided your usage stays reasonably proportionate to your number of licensed users.
At renewal, we review your storage usage against a benchmark of 100GB per license. Each backup license provides 100GB of pooled storage, which you can use flexibly across that application. Here's how it works for each application we back up:
- Google Workspace Backup: Each backup license lets you back up 1 user and adds 100GB to your pooled storage, which can be used across all Google Workspace apps (Gmail, Google Drive, Contacts, Calendar, Shared Drives). Example: 10 licenses = 10 users + any number of Shared Drives, within 1TB of storage.
- Microsoft 365 Backup: Each backup license lets you back up 1 user and adds 100GB to your pooled storage, which can be used across all Microsoft 365 apps (Outlook, OneDrive, People, Calendar, SharePoint and Teams). Example: 10 licenses = 10 users + any number of SharePoint sites and Teams channels, within 1TB of storage.
- Slack Backup: Each backup license adds 100GB to your pooled storage, which can be used to back up public channels, private channels and 1 user's direct messages. You need to buy backup licenses for all active users in your Slack workspace. Example: If you have 10 active users and 2 guest users, buy 10 licenses to back up all the public channels, private channels and end-user direct messages on the workspace.
- Salesforce Backup: Each backup license adds 100GB to your pooled storage. You need to buy backup licenses for all active users in your Salesforce organization. Example: If you have 10 active users and 5 inactive users, buy 10 licenses to back up the organization.
- QuickBooks Online Backup: Each backup license lets you back up 1 QuickBooks Online company and adds 100GB to your pooled storage.
- Xero Backup: Each backup license lets you back up 1 Xero organization and adds 100GB to your pooled storage.
- Box Backup: Each backup license lets you back up 1 user and adds 100GB to your pooled storage. Example: 10 licenses = 10 Box users with 1TB of storage.
- HubSpot: Each backup license adds 10GB to your pooled storage. You can buy licenses based on how much storage your HubSpot account uses. Example: If your HubSpot account uses 13GB, buy 2 backup licenses (providing 20GB of storage) to back up the account.
Note: HubSpot is licensed by storage rather than by users, so it follows a different pricing model. The uncapped storage during your term and the 100GB-per-license benchmark at renewal do not apply to HubSpot.
Important: Pooled storage is applied at the SaaS application level, not at the backup account level. Example: If you back up 2 Google Workspace accounts with 15 users in total and 1 Box account with 10 users, here's how the pooled storage policy applies:
- For Google Workspace, you should purchase 15 licenses, and you get 1.5TB of pooled backup storage that can be shared across both Google Workspace accounts.
- For Box, you should purchase 10 licenses, and you get 1TB of pooled backup storage.
You cannot use the excess pooled storage from Google Workspace to back up Box.
