How to backup Microsoft 365 using Groups in the SysCloud application?
SysCloud allows you to include specific Microsoft 365 Groups in a backup job. After selecting the required groups in the backup scope, you can configure group level settings such as auto backup, inactive user retention, and user archive storage limit.

Steps to include Microsoft 365 Groups in a backup job
Step 1: Log in to the SysCloud backup application using your admin credentials.
Step 2: Go to Jobs.
Step 3: Create a new Microsoft 365 backup job or open an existing Microsoft 365 backup job.
- To update an existing job, open the backup job.
- Click Edit from the side tray.
Step 4: Go to Step 3: Select scope. In the Clouds section, select Microsoft 365.
Step 5: Click Select or the edit icon under the Scope column.
Step 6: In the Entities - Microsoft 365 pop-up, select the domain that contains the groups you want to back up.
Step 7: Under Select users to backup, choose Select specific groups or users.
Step 8: Click on the Add users.
Step 9: Go to the By Groups tab. Select the checkbox next to the groups you want to include in the backup job.
Step 10: Click Confirm to save the selected groups.
Step 11: Click Confirm again in the Entities - Microsoft 365 pop-up to proceed.
Step 12: Click Next to go to the Select apps step.
Step 13: In the Select apps step, click the edit icon under the Apps column for Microsoft 365.
Step 14: Select the Microsoft 365 apps you want to back up.
Step 15: Configure the required retention and exclusion settings, if required.
Step 16: Click Confirm to save the app selection.
Step 17: Click Next to go to the Configure settings step.
Configure group level settings for Microsoft 365 Groups
Use the Configure settings step to configure auto backup, inactive user retention, and user archive storage limit for users associated with the selected Microsoft 365 Groups.
Step 1: In Step 5: Configure settings, click the edit icon under the Settings column for Microsoft 365.
Step 2: In the Settings - Microsoft 365 pop-up, click Configure for the domain where the Microsoft 365 Group resides.
Step 3: To configure group level settings, go to the By Groups tab.
Step 4: Select the checkbox next to Auto-backup to automatically add new users from the selected domain to the backup schedule. When Auto-backup is enabled, all unprotected users from the selected domain who are associated with the group are automatically added to this backup job.
Step 5: Select the checkbox next to Auto-backup (other users) to automatically add new cross domain users to the backup schedule. When Auto-backup (other users) is enabled, all unprotected users from other domains who are associated with the group are automatically added to this backup job.
Step 6: Select the checkbox next to Inactive user retention to configure backup archive retention for suspended or deleted users. By default, inactive user retention is set to Unlimited.
Step 7: Select the checkbox next to User archive storage limit to set a backup storage limit for users. By default, the user archive storage limit is set to Unlimited.
Step 8: To configure user level settings, go to the By User tab.
Step 9: Select the checkbox under User archive storage limit to set a backup storage limit for specific users. By default, the user archive storage limit is set to Unlimited.
- But custom size limits can be configured.
Step 10: Click Confirm to save the settings.
Step 11: On the settings – Microsoft 365 popup window, click Confirm.
Step 12: Click Next to go to the Configure add-ons step.
Step 13: Configure the required add-ons or click Next to skip this step.
Step 14: In the Define action flows step, configure action flows if required. Click Start Backup to save the backup job and start the backup.
The selected Microsoft 365 Groups and group level settings will be saved in the backup job.
- Cross domain users are not visible in the By Groups list because they are outside the selected domain.
- When you edit the job, the new domain will appear in the Scope section. Expand Select specific groups or users under that domain to view the users.
- Backed up data for cross domain users will appear in Archives under their respective domains.
- Auto-backup (other users) can be enabled only if Auto-backup is enabled for that group.
