How to fill the Box folder-level backup sheet?*

Overview

Use the Backup by folder sheet to define which Box users and folders should be included or excluded from backup.

The sheet can be used to:

Include an entire Box user in backup.
Exclude an entire Box user from backup.
Include specific folders for a user.
Exclude specific folders from backup.

Do not rename the sheet or column headers.

Column guide

Column	How to fill
User name	Enter the Box user’s email address. Example: john@company.com.
Backup scope	Select the backup action from the dropdown.
Folder name	Required only for Include specific folders and Exclude specific folders. Leave blank for entire-user actions.
Folder URL	Required only for specific-folder actions. Copy the folder URL from Box.
Sub folder inclusion	Required only for specific-folder actions. Leave blank for entire-user actions.

Backup scope values

Backup scope	What it means
Include entire user	Back up all folders and files accessible to the user.
Exclude entire user	Exclude the user from backup scope.
Include specific folders	Back up only the folders listed for the user.
Exclude specific folders	Exclude the listed folders from backup.

Sub folder inclusion

For Include specific folders:

Include backs up the selected folder and its subfolders.
Exclude backs up only the selected folder. Subfolders are not backed up unless added separately.

For Exclude specific folders:

Exclude excludes the selected folder and its subfolders.
If this field is left blank, SysCloud treats it as Exclude during upload.

Folder URL and folder name

SysCloud uses the folder ID from the Folder URL as the source of truth for backup. Folder name is used only for reference.

If a selected folder is renamed in Box, backup continues because SysCloud tracks the folder ID, not the folder name.

Notes before upload

For Include entire user and Exclude entire user, leave Folder name, Folder URL, and Sub folder inclusion blank.
For Include specific folders and Exclude specific folders, Folder name and Folder URL are required.

SysCloud checks the sheet during upload. If any row has missing or conflicting information, the upload summary shows the issue and provides an error file to download.
