Understand data eligibility in SysCloud

SysCloud uses eligibility to show whether data is available through the cloud provider’s APIs for backup, restore, or export.

Data is grouped into two categories:

Category Meaning
Eligible data Data that is available to SysCloud and can be backed up, restored, or exported. If a temporary limitation prevents the action from completing, SysCloud will retry it.
Ineligible data Data that is not available to SysCloud due to cloud limitations. This data cannot be backed up, restored, or exported unless the limitation changes.

Eligibility helps you understand whether SysCloud can work with the data, or whether the data is restricted by the cloud provider.

How eligibility affects backup

For backup, eligibility shows whether SysCloud can back up the data.

Eligible data can be backed up by SysCloud. If the latest backup attempt does not complete because of a temporary limitation, SysCloud will retry it in the next backup cycle.

Ineligible data is not available for backup due to cloud limitations. This means SysCloud cannot create a backup copy of that data unless the cloud limitation changes.

How eligibility affects restore

For restore, eligibility shows whether SysCloud can restore the data.

Eligible data can be restored by SysCloud. If the latest restore attempt does not complete because of a temporary limitation, SysCloud will retry it.

Ineligible data is not available for restore due to cloud limitations. This means SysCloud cannot restore that data unless the cloud limitation changes.

How eligibility affects export

For export, eligibility shows whether SysCloud can export the data.

Eligible data can be exported by SysCloud. If the latest export attempt does not complete because of a temporary limitation, SysCloud will retry it.

Ineligible data is not available for export due to cloud limitations. This means SysCloud cannot export that data unless the cloud limitation changes.

What the eligibility summary shows

The eligibility summary shows data in three possible states:

Data shown What it means
Completed data Data that has been backed up, restored, or exported successfully.
Retry pending data Eligible data that could not be backed up, restored, or exported due to a temporary limitation. SysCloud will retry it.
Not available data Ineligible data that cannot be backed up, restored, or exported due to cloud limitations.

Example

Assume the Backup eligibility summary shows the following details:

Cloud Eligibility Status Reason Data size
Google Workspace Yes Complete - 10 GB
QuickBooks Online Yes Retry pending Temporary limitation 5 GB
Xero No Not available for backup Cloud limitation 2 GB

This means:

  • Google Workspace: 10 GB of eligible data has been backed up successfully.
  • QuickBooks Online: 5 GB of eligible data could not be backed up due to a temporary limitation. SysCloud will retry this data in the next backup cycle.
  • Xero: 2 GB of data is not available for backup because of cloud limitations. SysCloud cannot back up this data unless the limitation changes.

The same logic applies to restore and export.

For restore, the status shows whether data is restored, retry pending, or not available for restore.

For export, the status shows whether data is exported, retry pending, or not available for export.
