At SysCloud, we’re committed to providing reliable, cost-effective backup services. However, as our operating costs have gone up significantly, we are introducing a pooled storage model to protect the integrity of our systems and keep our business sustainable. Here are some of the key reasons for this decision:
- AWS price increases: AWS raised their compute and storage costs by 23%, directly impacting what we pay to store and manage your data.
- SaaS storage limits: Leading SaaS apps like Google Workspace and Microsoft have started enforcing strict storage caps.
- Our commitment to fair pricing: Unlike many other SaaS vendors that regularly increase prices, SysCloud hasn’t raised our prices in over a decade.
Instead of passing these extra costs on to you through higher subscription fees, we’re introducing a pooled storage policy to keep our services affordable and fair for all our customers—while staying competitive in a changing market.
Understanding the Pooled Storage Plan
Here’s how the new pooled storage plan works for different SaaS applications that we backup:

Google Workspace Backup:
Each backup license lets you back up 1 user and adds 75GB to your pooled storage, which can be used across all Google Workspace apps (Gmail, Google Drive, Contacts, Calendar, Shared Drives).
Example: 10 licenses = 10 users + any number of Shared Drives, within 750GB of storage.
If you purchase more than 100 licenses with an annual plan, you get unlimited storage.

Microsoft 365 Backup:
Each backup license lets you back up 1 user and adds 75GB to your pooled storage, which can be used across all Microsoft 365 apps (Outlook, OneDrive, People, Calendar, SharePoint and Teams).
Example: 10 licenses = 10 users + any number of SharePoint sites and Teams channels, within 750GB of storage.
If you purchase more than 100 licenses with an annual plan, you get unlimited storage.

HubSpot:
Each backup license adds 10GB to your pooled storage. You can buy licenses based on how much storage your HubSpot account uses.
Example: If your HubSpot account uses 13GB, buy 2 backup licenses (providing 20GB of storage) to back up the account. - Slack Backup:
Each backup licenses adds 75GB to your pooled storage, which can be used to backup public channels, private channels and 1 user's direct messages. You need to buy back up licenses for all active users in your Slack workspace.
Example: If you have 10 active users and 2 guest users, buy 10 licenses to back up all the public channels, private channels and end-user direct messages on the workspace. - Salesforce Backup:
Each backup licenses adds 75GB to your pooled storage. You need to buy back up licenses for all active users in your Salesforce organization.
Example: If you have 10 active users and 5 inactive users, buy 10 licenses to back up the organization. - QuickBooks Online Backup:
Each backup license lets you back up 1 QuickBooks Online company and adds 75GB to your pooled storage. - Box Backup:
Each backup license lets you back up 1 user and adds 75GB to your pooled storage.
Example: 10 licenses = 10 Box users with 750GB of storage.
Important:
Pooled storage is applied at the SaaS application level, not at the backup account level.
Example: If you backup 2 Google Workspace accounts with 15 users (1TB) and 1 HubSpot account (13GB), with SysCloud, here's how the pooled storage policy applies,
1. For Google Workspace, you should purchase 15 licenses, and you get 1.125TB of pooled backup storage that can be shared across both Google Workspace accounts.
2. For HubSpot, you should purchase 2 licenses, and you get 20GB of pooled backup storage.
You cannot use the excessive pooled storage from Google Workspace to backup HubSpot.
