How to initiate a cross-user restore for Microsoft 365?

You can restore backed up Microsoft 365 data to a different user account in the same domain. This is called a cross-user restore.

SysCloud supports cross-user restore at different levels based on the selected Microsoft 365 app and restore flow:

  • User-level cross-user restore: Restore an entire app archive, such as OneDrive, Outlook, People, or Calendar, from one user to another user in the same domain.
  • Item-level cross-user restore: Restore selected items, such as files, emails, contacts, or calendar events, from one user to another user in the same domain.

    Cross-domain restore is not supported.

    To initiate a User-level cross-user restore for a Microsoft 365 App

    Step 1: Log in to SysCloud using your admin credentials.

    Step 2: Click Archives from the top navigation menu and select Microsoft 365 from the left-side cloud navigation.

    Step 3: In the User Archives tab, select the checkbox next to the user whose app data you want to restore, and click Restore.

    Step 4: In the Restore window, verify the selected snapshot date and time. If required, use the snapshot selector to choose the required backup snapshot.

    Step 5: To perform a cross-user restore, from the Restore to dropdown, select a different user account from the same Microsoft 365 domain.

    By default, SysCloud restores the data to the same user account from which it was backed up.

    Step 6: Review the app-specific restore options and limitations in the Restore - User level window, add an optional comment to be shown in the Restore report, and click Restore and Proceed.

    The available restore options vary based on the Microsoft 365 app being restored:

    • Calendar: Select the snapshot date and add a comment, if required. Restoring a shared calendar event may trigger email notifications to all attendees.
    • OneDrive: Select the snapshot date and add a comment, if required. To restore the original sharing permissions, select Restore all share permissions. To restore the data to a separate, restore folder instead of the original location, select Create a new folder for restore.
    • Outlook: Select the snapshot date and add a comment if require. To restore emails to a separate folder, select Restore to custom folder.
    • Microsoft People: Select the snapshot and add a comment, if required. No additional restore options are available for People.
    • Teams Chat: Select the snapshot date and choose whether to restore the chat to Members of this chat(s) or Other users. You can restore all messages and files, only messages, or only files.

              For Teams Chat restore, you must reconnect your Microsoft 365 account before performing the restore. Due to Microsoft API limitations, each private chat is restored as a new Team with the same name, and the files are restored to the Team SharePoint. Files are restored in their native format. Messages from guest users cannot be restored. Teams chat attachments are stored in OneDrive, so OneDrive must be backed up for all chat participants to restore attachments.

              To initiate an item-level cross-user restore in a Microsoft 365 app

              Step 1: Log in to SysCloud using your admin credentials.  

              Step 2: Click on “Archives” and select “Microsoft 365” from the Side Navigation Panel.  

              Step 3: Select an account from the list to view your archives.

              Step 4: Click the App you wish to restore the files from

              Step 5: Select the checkboxes next to the files to restore multiple files together and click "Restore".

              Step 6: In the restore pop-up box, select the snapshot date and time (click here to learn how to select snapshots) and select a different email account to restore the data.

              • By default, data is restored to the same account from which it was deleted. To perform a cross-user restore, you need to select a different account of the same domain.

              • Cross domains restore is not supported.

              Step 7: In the restore pop-up screen select the checkboxes, "Restore all sharing permission" and "Create a new folder for restore" options to restore files with sharing permissions and folder structure intact.

              Restore all share permissions: If this checkbox is enabled the collaborator(s) of the original file will have access to the restored file. Please inform collaborator(s) about the new file

              Create a new folder for restore: If this checkbox is enabled, the selected files will be restored as a new folder in your cloud application.

              Step 8: Add comments to be shown in the Restore Report (optional) and click on Restore to confirm the restore.

              You can monitor the restore status from Reports > Restore Reports.
